A guide for instructors about how to cancel or defer a cohort

Ideally, for the best student experience, you'll be able to keep your cohort at the originally scheduled time. But, we all know that things happen! If you're unable to run your cohort like planned or if you didn't get as many enrollments as you hoped and want to keep marketing, you can cancel or defer your cohort.

This guide will explain how to cancel or move the date of your course if needed.

Close your course for enrollment.

This ensures students won't continue to enroll, at least until you've decided on new dates for the future.

Closing enrollment will:

  1. Ensure the Cohort launch campaign emails stop sending.

  2. Set your landing page up to collect waitlist signups.

Once you've decided on the new dates for your cohort, you'll be able to re-open your cohort for enrollment at any time.

To close your course for enrollment, click the "close enrollment" button in your course settings:

Update your course dates.

If you're planning to offer the cohort at a later date, update your dates in your course settings.

Be sure to update:

  1. The start and end dates.

  2. The payment deadlines.

  3. The application deadline (if you're using an application).

  4. The dates of your cohort events.

  5. Syllabus dates: due dates for lessons and projects and module release dates.

Once you have the new dates set for your cohort, be sure to re-open your cohort for enrollment in the settings tab so students can signup.

Email your students to communicate any changes.

Use Maven's broadcast email tool to communicate to all enrolled students. If you're planning to host the course at a later date, you can offer a spot in the new cohort. If students decide to remain enrolled and attend during the new dates, you don't need to take any action. Just keep them enrolled in the Students tab - as long as they remain enrolled, they'll get the updated event invites and access to the content on the updated dates you've set.

You should also offer a refund if the new dates don't work for any previously enrolled students.

If you're not planning to run the course again, offer a refund via Stripe and tell students when to expect it (refunds can take up to 10 business days to fully process). Be sure to remove them from the Maven Students tab so they don't continue to get information about the course.
